From a review link to a copy-paste reply

Five steps. No auto-posting, no browser extension for scanning, no plumbing to maintain. Paste a URL, get alerts, copy the AI draft, and post it yourself.

Step 01

Paste a listing URL

Copy the public URL of your Google Maps or TripAdvisor listing and paste it into Review Monitor. That is the entire connection. No API keys, no OAuth, no browser extension needed for the automated scanning.

  • Works with the URL a customer would see — the same one the platform shows in their address bar.
  • For multi-location brands: paste each location once. Bulk-import is available on Business.
  • You stay in control — remove a source and its data is deleted from your workspace.
Step 02

We scan on your plan's cadence

Every connected source is checked automatically on a schedule that matches your plan. New reviews land in your dashboard while you sleep — Business plans run hourly, Pro every 2 hours, Starter every 6 hours, and Free once a day.

  • Scans run on our servers, not your browser or your team's laptops.
  • Only new or edited reviews trigger downstream work — nothing repeats.
  • Manual “Re-scan now” is available on every plan for one-off checks.
Step 03

AI reads every review

The AI Review Assistant produces a sentiment score, a one-line owner summary, and — for every negative review — a full reply draft in your brand voice. The draft references specifics from the review, never generic filler.

  • Sentiment on a 5-level scale (very negative → very positive).
  • Owner summary in plain language: what happened, what the customer wanted.
  • Reply draft for 1★–3★ reviews. 4★–5★ get a shorter acknowledgment draft.
Step 04

Alerts fan out to the right people

Every alert delivery method is unlimited. The system routes based on rating, source, and location — so the manager for one venue does not get pinged for another one.

  • In-app push, email, and browser notifications on every plan.
  • WhatsApp priority alerts on Pro and Business — draft reply included in the message.
  • 1★–5★ per-rating toggle so 4★–5★ reviews stop waking anyone up if you want.
Step 05

You copy the draft and paste on the platform

Every alert includes a one-tap copy button. Open the review on Google or TripAdvisor, hit “Reply”, paste, edit, post. Nothing gets published on your behalf — the platforms remain the source of truth.

  • Copy button in email, WhatsApp, and the in-app alert view.
  • The draft is editable in the dashboard first if you want to change tone or facts.
  • No AI auto-posting means zero risk of a bot embarrassing your brand.
Scan cadence

How often we check, by plan

Higher plans check more often, so an angry 1★ review does not sit unanswered overnight. All cadences run 24/7 on our servers.

PlanScan frequencyReviews per day (typical)Worst-case detection lag
FreeEvery 24 hours1× daily batchUp to 24 hours
StarterEvery 6 hours4× dailyUp to 6 hours
ProEvery 2 hours12× dailyUp to 2 hours
BusinessEvery 1 hour24× dailyUp to 60 minutes

Manual “Re-scan now” is on every plan. Cadence is the automated floor — you can always trigger a fresh scan yourself.

What we read

What we scan, and never touch

Only public review data from the listing URL. No accounts, no private customer info, no scraping past what a signed-out visitor could see.

What we do read
  • Star rating, review text, and review date
  • Reviewer display name and public avatar as shown on the platform
  • Owner responses already posted on the platform
  • The public URL and canonical review permalink
What we never touch
  • Any private customer data — order ID, phone number, email
  • Content behind a login wall on any platform
  • Your Google or TripAdvisor account credentials
  • Reviews from listings you have not connected
  • Auto-posting anything back to the platforms

Pro & Business
The copy-paste reply

The last mile, always human

Every reply leaves Review Monitor as text you paste yourself. That is a deliberate choice, not a limitation.

Anatomy of a copy-paste reply
  1. 1
    Alert lands
In-app push, email, or WhatsApp — with the AI reply preloaded.
  2. 2
    You read it
Sentiment, owner summary, and reply draft in one screen.
  3. 3
    Tap “Copy reply”
The draft goes to your clipboard, ready to paste anywhere.
  4. 4
    Open the review permalink
The alert includes the exact review URL — one tap, you’re there.
  5. 5
    Paste, edit, post
You control every word that leaves for a public platform.
No auto-posting risk

AI never speaks on behalf of your brand. The worst it can do is a bad draft, which you delete in one tap.

AI does the heavy lifting

Sentiment, key issues, tone matching, and reply draft — all pre-computed before you look.

Under 60 seconds per reply

Most negative reviews are handled from alert to posted-reply inside a minute.

Editable everywhere

Edit in the dashboard, in the email, or after pasting on the platform. Your last word wins.

FAQ

How the workflow actually behaves

  • No. Auto-posting is intentionally not a feature. Every reply is posted by a human on the source platform. This keeps your brand safe from AI hallucinations and platform terms-of-service issues.

  • No — scanning runs on our servers. The optional Chrome extension is only for admins who want to do one-off manual scans; the automated cadence never depends on it.

  • Yes, on every plan. Every source has a “Re-scan now” button that runs an on-demand check outside your plan’s automatic cadence.

  • Rules stack in this order: rating threshold → source (which listing) → location tag → recipient. So the Downtown manager gets only Downtown pings, the owner gets everything 3★ or below, and no one gets 5★ alerts unless you turn them on.

  • Yes — per-rating toggles (1★–5★) are in Settings. Most teams turn 4★ and 5★ off after the first week to reduce noise.

  • Edit the draft in the dashboard, in the email, or after pasting on the platform. You always have the last word — nothing is locked.
